Farrier App vs Spreadsheet: Which Fits Your Business?

A spreadsheet can be a sensible way to run a small farrier business when its records are consistent and easy to maintain. A farrier app may help when you repeatedly copy the same horse, client, appointment, and invoice information between separate places. Choose based on the work you do, not the number of features advertised.

When a spreadsheet is a good fit

Keep your spreadsheet if you can reliably find appointments, distinguish horse and payer records, calculate bills, track payments, and make backups. Sheets are flexible, familiar to many bookkeepers, and useful for analysis. A well-maintained sheet can be more useful than an app you have not configured or learned.

Watch the cost of maintaining it. A total that depends on a formula copied correctly into every new row needs a regular check. A photo stored elsewhere needs an unambiguous reference to its horse and date.

A practical minimum spreadsheet structure

These are suggested fields, not a required database design. IDs help distinguish two horses named Buddy or a client who changes their name. Avoid storing the same payment in multiple totals without a way to reconcile it.

When an app is worth testing

Consider a trial when routine tasks require repeated copying, when mobile edits cause errors, or when finding the correct horse history has become difficult. Test whether the app makes those specific tasks easier. You may still need a spreadsheet or accounting system for other business needs.

Fictional test: create one barn with three horses owned by two clients. Move one horse to a new appointment, bill the other two, and record a partial payment. Compare the steps and check the final records in both systems. The better choice is the one that meets your requirements without leaving ambiguous visits or balances.

A careful migration checklist

  1. Save a dated, readable copy of your current records.
  2. Resolve duplicate client and horse names and identify open invoices.
  3. Try a small sample first. Check whether import is actually supported before planning around it.
  4. Compare horse counts, next appointments, and opening balances with the original.
  5. Decide which system is the active record after your changeover date.
  6. Keep access to historical documents and verify the new backup or export process.

Check the tradeoffs honestly

Compare device support, ongoing cost, offline behavior, data export, and recovery. Hoofy stores working records locally and offers optional iCloud auto-backup and sync-file snapshots. You can save a sync file and review it for restoration on another device; restoration replaces that device's records. This is a different workflow from several people editing a shared live record.

Use the farrier app comparison checklist or solo-farrier field test. If you only need a cleaner document today, try the free invoice template without changing your whole record system.
